1.Introduction
EternaX ("EternaX", "we", "our" or "us") is committed to protecting the privacy, confidentiality and security of information that we collect, receive, generate, use, store, disclose or otherwise process in connection with our website, software platforms, application programming interfaces (APIs), products, services and business operations.
EternaX provides technology solutions designed to support financial institutions, banks, non-banking financial companies (NBFCs), payment service providers, merchants, fintech companies, businesses and other institutional customers. Depending on the services contracted by a customer, our technology may support financial reconciliation, payment processing workflows, settlement management, dispute management, merchant technology, fraud risk management, reporting, integrations and related operational activities.
These services may involve information relating to customer representatives, authorised users, merchant personnel, end customers, transaction participants, counterparties and other individuals whose information is supplied to or processed through our systems.
We recognise that information processed in financial technology environments may be confidential, commercially sensitive or subject to specific contractual, regulatory and security requirements. We therefore seek to process personal data in a manner that is transparent, purpose-oriented, proportionate to the relevant service and consistent with applicable law.
This Privacy Policy explains:
The categories of information that we may collect or receive.
The purposes for which information may be processed.
How our role differs when we act for our own business purposes and when we provide technology services to institutional customers.
The circumstances in which information may be shared with third parties.
How we approach information security, retention and deletion.
The choices and rights that may be available to individuals under applicable law.
How individuals may contact EternaX regarding privacy-related matters.
This Policy should be read together with applicable service agreements, terms and conditions, order forms, data processing agreements, security schedules and other contractual documents governing the relevant relationship.

When a bank, NBFC, payment service provider, merchant, fintech company or other customer uses EternaX technology to process information about its own customers, merchants, employees or transaction participants, EternaX may process that information solely to provide the contracted services and in accordance with the customer's documented instructions and applicable contractual arrangements.
In such circumstances, the institutional customer may determine the purposes and essential means of processing, while EternaX acts in a service-provider or processor capacity, to the extent recognised under applicable law.
The customer remains responsible for determining its own legal obligations, notices, permissions, consents and other requirements concerning the information it submits to the platform, except to the extent that the law or the applicable agreement allocates a specific obligation to EternaX.
2.2Information processed for EternaX's own purposes
EternaX may independently determine the purposes for which it processes information relating to its website visitors, prospective customers, customer representatives, authorised users, vendors, business partners and other individuals who interact directly with EternaX.
For these activities, EternaX will determine and fulfil the obligations applicable to its role under the relevant law.
2.3Other applicable documents
This Policy does not replace a separate privacy notice issued by a bank, NBFC, merchant or other institutional customer. Where EternaX processes information on behalf of a customer, the customer's privacy notice and contractual arrangements may govern the customer's relationship with the relevant individual.
If a separate agreement or product-specific notice establishes additional privacy requirements, the documents should be read together. Where an inconsistency arises, the applicable agreement and mandatory legal requirements will determine the respective obligations of the parties.

Settlement Management services may process information concerning settlement instructions, settlement calculations, expected and actual settlement amounts, settlement cycles, fees, adjustments, exceptions, payout status, reconciliation results and related operational records.
Where supplied by a Customer, settlement files may also contain merchant identifiers, bank account references, transaction-level details or other information necessary to identify and resolve settlement discrepancies.
EternaX provides technology functionality according to the contracted scope. The existence of a settlement record or workflow within the platform does not, by itself, establish that funds have been transferred, received or irrevocably settled.

Dispute and chargeback reference numbers.
Related transaction information.
Reason codes and case categories.
Dates, deadlines and status histories.

Merchant Technology services may process information about merchants and their authorised personnel, including business names, merchant identifiers, contact details, onboarding status, configuration settings, service usage, operational records, support history and payment-related information.
If a merchant account is used by multiple employees or representatives, the relevant Customer or account administrator is responsible for assigning appropriate access permissions and keeping authorised-user information current, subject to the applicable agreement.
4.9Fraud and risk-related information
Where an FRM or risk-related service is contracted and configured, EternaX may process information used to identify suspicious patterns, investigate anomalies or support risk workflows. This may include transaction attributes, velocity indicators, device or channel information, merchant or account references, risk indicators, alert histories, rules triggered, investigation notes and case outcomes.
Risk indicators may be generated from information supplied by a Customer or from authorised technical signals. A risk score, rule match or automated alert is not necessarily a finding of fraud or wrongdoing. Customers remain responsible for making decisions assigned to them under the relevant product design, agreement and applicable law.
EternaX does not intend to collect sensitive personal information unrelated to a defined service purpose. Any processing of particularly sensitive information must be separately assessed for necessity, authority, security and legal permissibility.
4.10Technical, device and usage information

4.11Communications and support information
EternaX may process information contained in emails, support tickets, telephone or meeting notes, product feedback, incident reports, service requests, demonstrations, implementation discussions and other communications.
This information may include names, contact details, account references, attachments, technical logs and information needed to investigate or resolve the request.
Individuals should not send passwords, authentication secrets or unnecessary personal or financial information through ordinary support channels.
4.12Recruitment, employment and vendor information
Where applicable, EternaX may process professional and administrative information relating to applicants, employees, consultants, contractors, vendors and business partners. This may include resumes, professional qualifications, work history, contact information, contractual details, payment information, background verification information where lawfully obtained, and records required for workforce or vendor administration.
The applicable privacy notice, contract and law may govern these activities in greater detail.
4.13Information we do not routinely seek
EternaX does not routinely seek information concerning an individual's health, biometric characteristics, religious beliefs, political opinions, sexual orientation or other highly sensitive attributes merely because such information exists in a source file.
If a Customer includes such information in transaction files, evidence documents or other data supplied to a service, the Customer should assess whether it is necessary and lawful to provide it. EternaX may request that unnecessary information be removed, masked or excluded, or may restrict processing where appropriate.
5.Sources of Information
EternaX may obtain information from the following sources, depending on the relevant relationship:
Directly from individuals: When they submit a form, communicate with EternaX, register for a service or interact with the website.
From institutional Customers: Through onboarding forms, uploaded files, system integrations, APIs, data feeds and service workflows.
From authorised representatives: When a Customer administrator, employer, vendor or other representative creates an account or supplies information on another person's behalf.
From integration partners: Where information is made available through an approved bank, payment network, service provider, merchant system or other integration.
From technical systems: Through application logs, access records, monitoring tools, security systems and diagnostic processes.
From public or permitted business sources: Where relevant to corporate verification, professional engagement, security or other lawful business purposes.
From service providers: Where a third-party service supports authentication, communications, hosting, analytics, customer support or other authorised operations.
Where a Customer supplies personal data to EternaX, the Customer is responsible for ensuring that it is authorised to provide that information and that the required notices, permissions, consents or other legal grounds have been established, where applicable.
6.Purposes for Which We Process Information
EternaX may process information for the following purposes, subject to the relevant service, role, contract and applicable law.
6.1Providing and operating services
We may use information to:
Create and administer customer accounts.
Authenticate users and manage access permissions.
Configure products, integrations and workflows.

Generate operational records, dashboards and reports.
Identify discrepancies and route exceptions.
Maintain records of approvals and user actions.
Deliver technical support and investigate incidents.
Monitor availability, performance and reliability.
Maintain service continuity and operational integrity.
6.2Customer onboarding and relationship management
We may use information to evaluate enquiries, perform appropriate business verification, prepare proposals, manage contracts, configure services, coordinate implementation, maintain customer records and communicate about the contractual relationship.
6.3Security and fraud prevention
We may process relevant information to authenticate users, identify suspicious access, detect misuse, investigate security incidents, protect accounts and systems, prevent unauthorised disclosure and support risk-related workflows.
6.4Reconciliation, settlement and dispute operations
Where included in a contracted service, we may process transaction and operational information to compare records, identify mismatches, track settlement exceptions, support dispute handling, maintain case histories and generate related reports.
6.5Product maintenance and improvement
EternaX may use appropriate service telemetry, technical diagnostics, aggregated information and other permitted data to maintain, test, troubleshoot and improve the reliability, usability and performance of its products.
Where data includes personal data, the purpose and legal basis must be appropriate to the relevant processing role. EternaX will not treat the receipt of Customer Data as unrestricted permission to use identifiable transaction information for unrelated product development or commercial purposes.
Where feasible and appropriate, product analytics may use aggregated, masked, de-identified or otherwise minimised information.
6.6Legal and contractual obligations
We may process information to comply with applicable law, respond to lawful requests, maintain required business records, enforce contractual rights, investigate suspected misconduct, protect legal interests and support audits or regulatory reviews where applicable.
6.7Communications and marketing
EternaX may use business contact information to respond to enquiries, arrange demonstrations, share service updates, communicate with existing Customers and provide relevant information about its products.
Marketing communications will be subject to applicable law and any necessary permissions or preferences. Individuals may request that EternaX stop sending non-essential promotional communications through the available communication channel.
Operational notices, security alerts, contractual communications and service-critical messages may continue where reasonably necessary.
6.8Website administration and analytics
We may use technical information to maintain the website, understand general usage patterns, diagnose errors, improve accessibility and evaluate website performance. Non-essential analytics or tracking technologies will be used subject to applicable legal requirements and the relevant website configuration.
6.9Protection of rights and business operations
We may use relevant information to investigate misuse, prevent unauthorised activity, protect EternaX, Customers and other affected parties, enforce applicable terms, and establish, exercise or defend legal claims where permitted by law.
EternaX will not assume that every purpose listed in this section applies to every individual or every service. The actual purpose will depend on the context in which the information is collected or received.
7.Legal Basis and Permission for Processing
EternaX will process personal data only where it has an appropriate basis under applicable law and, where relevant, the applicable contract or documented Customer instructions.
Depending on the circumstances, the basis may include:
Consent or another legally recognised permission.
Performance of a contract or steps required before entering into a contract, where recognised by applicable law.
Compliance with a legal obligation.
Processing permitted for a legally recognised legitimate or other statutory purpose.
Processing carried out by a Data Processor on behalf of a Data Fiduciary in accordance with applicable law and the relevant agreement.
Where consent is required, the relevant party will seek to obtain it in the manner required by law. Where a Customer is responsible for obtaining consent or providing a privacy notice, EternaX may rely on the Customer's contractual representation and instructions, subject to applicable law and any information reasonably necessary to assess the processing arrangement.
Consent should not be assumed merely because an individual uses a website, because information appears in a transaction file, or because a Customer has supplied the information to EternaX.
Where an individual withdraws consent, the relevant party will assess the request and its effect in accordance with applicable law, including whether another lawful basis or retention obligation applies.
8.Cookies and Similar Technologies
The EternaX website may use cookies, local storage or similar technologies, depending on its implementation.
These technologies may support:
Essential website functionality.
Session management and security.
User preferences.
Website performance and diagnostics.
Usage analytics.
Marketing or campaign measurement, where implemented and permitted.
8.1Essential technologies
Certain technologies may be necessary to deliver requested functionality, protect sessions or maintain website security. Disabling them may affect some features.
8.2Analytics technologies
Where analytics tools are used, they may collect information about website usage, device characteristics, pages visited, referral information and performance. EternaX should configure such tools to collect only the information reasonably required for the intended purpose.
8.3Marketing technologies
If EternaX deploys advertising, remarketing or other non-essential tracking technologies, their use will be assessed against applicable consent, notice and preference requirements.
8.4Managing cookies
Individuals may be able to control cookies through browser settings or an on-site preference mechanism, where available. Blocking or deleting cookies may affect website functionality.
The specific technologies, providers, retention periods and controls will depend on the live website configuration. EternaX should publish a separate cookie notice or cookie table if its website uses non-essential tracking technologies requiring more detailed disclosure.
9.Sharing and Disclosure of Information
EternaX does not treat information supplied for a specific service as unrestricted information that may be disclosed for any purpose. Sharing will be assessed according to the relevant processing role, contractual arrangement, operational necessity and applicable law.
9.1Sharing with Customers
Where EternaX processes information on behalf of a Customer, it may make the relevant information available to that Customer and its authorised users as required by the service configuration and contractual instructions.
The Customer is responsible for managing its users' access rights and ensuring that information is disclosed internally only to authorised persons.
9.2Service providers and technology vendors
EternaX may engage service providers to support hosting, infrastructure, data storage, authentication, communications, monitoring, security, technical support, customer relationship management, analytics or other business operations.
Such providers may access or process information only to the extent required for their authorised functions, subject to applicable contractual, security and legal requirements.
EternaX should conduct appropriate due diligence and establish suitable confidentiality, security, processing and access restrictions for service providers that handle personal data.
9.3Banks, payment networks and integration partners
Where necessary for a contracted service, information may be exchanged with banks, payment service providers, payment networks, processors, acquiring or issuing institutions, merchants, settlement partners or other integration participants.
The information exchanged will depend on the relevant payment or operational workflow. EternaX will not represent that every listed institution or network is integrated with every EternaX product.
9.4Professional advisers and auditors
EternaX may disclose relevant information to legal advisers, accountants, auditors, consultants, insurers or other professional advisers where reasonably necessary for the provision of professional services, subject to applicable confidentiality and legal requirements.
9.5Regulators, public authorities and legal processes
EternaX may disclose information where required or permitted by applicable law, a valid legal process, a binding regulatory direction or a lawful request from a competent authority.
Where legally permitted and reasonably practicable, EternaX will limit disclosure to information relevant to the request. EternaX may also preserve records where necessary to comply with a legal obligation or protect its legal interests.
9.6Corporate transactions
In connection with a merger, acquisition, restructuring, financing, investment, asset transfer or proposed corporate transaction, relevant information may be disclosed to appropriate participants subject to confidentiality, due diligence and applicable legal requirements.
Where a transaction results in a material change in how personal data is processed, EternaX will assess whether further notice, contractual action or other steps are required.
9.7With an individual's direction or permission
EternaX may disclose information where the individual has requested or authorised the disclosure, or where a valid permission or other legal basis applies.
9.8No unrestricted sale of personal data
EternaX does not intend to sell personal data as a standalone commercial asset. Any sharing, transfer or other use of personal data must be assessed against the applicable purpose, legal requirements and contractual commitments.
This statement does not prevent disclosures that are necessary to provide the contracted service, support an authorised integration, comply with law or carry out another permitted activity described in this Policy.
10.Data Processed Through EternaX Products
Different EternaX products may process different categories of information. The following descriptions identify potential processing activities and should be confirmed against the final product architecture.
10.1EternaX Sync — Reconciliation
EternaX Sync may receive records from bank systems, payment systems, merchant systems, internal ledgers or other approved sources to compare transactions and identify differences.
The platform may process transaction references, dates, amounts, statuses, source identifiers, settlement information, matching results, exceptions, resolution notes and related audit records.
Information is used to operate reconciliation workflows, produce reports, support exception management and maintain operational traceability. Where information identifies an individual, the relevant Customer and EternaX will apply the roles and controls established for the service.
10.2Payment Technology and Orchestration
Payment technology or orchestration services may process information necessary to route, initiate, track, monitor or report payment workflows, where these functions are included in the contracted service.
Depending on the integration, this may include transaction references, payment status, merchant identifiers, routing metadata, channel information, error codes, reconciliation records and related operational information.
EternaX's technology role should not be interpreted as a representation that EternaX itself is a bank, payment system operator, payment aggregator, regulated payment intermediary or holder of customer funds. The regulatory status and responsibilities of each participant depend on the actual arrangement and applicable authorisations.
10.3Settlement Management
Settlement Management may process expected and actual settlement records, settlement cycles, merchant or counterparty identifiers, transaction summaries, adjustments, fees, exceptions and related workflow information.
The information is used to support settlement visibility, exception tracking, reporting and operational control. Actual movement of funds remains subject to the relevant financial institution, payment participant, contractual arrangement and payment process.
10.4Dispute Management
Dispute Management may process transaction references, case identifiers, reason codes, supporting evidence, communications, deadlines, reviewer notes and case status.
Access should be restricted to individuals authorised to work on the relevant cases. Customers should avoid uploading unrelated personal data and should ensure that evidence files are lawfully obtained and appropriate for the dispute.
10.5UPI-related Technology and Integrations
Where an EternaX service supports UPI-related technology or integrations, relevant information may include transaction identifiers, timestamps, amounts, statuses, response codes, merchant references and operational or reconciliation records.
The precise information depends on the role of each participant and the approved integration. EternaX will not claim to access information that is not made available through its authorised systems or contractual scope.
10.6Merchant Technology
Merchant Technology services may process merchant profiles, business contact information, user roles, configuration records, operational events, transaction references and support history.
Customers and merchant administrators should maintain accurate user lists and promptly remove access that is no longer required.
10.7Fraud Risk Management
FRM services may process transaction attributes, rule outcomes, risk indicators, alerts, case notes and investigation records where configured for the Customer.
Such information may support review and decision-making. A risk indicator does not necessarily establish that a transaction or individual is fraudulent. Customers should apply appropriate review, escalation and decision controls.
10.8APIs and integrations
APIs may transmit data between EternaX and Customer systems or authorised third parties. API access should be configured with appropriate authentication, authorisation, rate controls, monitoring and credential-management procedures.
Customers are responsible for securing their own systems, credentials and integration endpoints. EternaX and the Customer should allocate integration-specific responsibilities through the applicable technical and contractual documentation.
11.Data Minimisation and Accuracy
EternaX seeks to process only information reasonably required for the relevant purpose, service or legal obligation.
Customers should submit information that is accurate, relevant and appropriately limited. Where possible, identifiers should be masked, fields excluded or data aggregated before transfer if the full information is not necessary for the service.
EternaX may request clarification, correction, masking or resubmission of information where a data quality issue materially affects the service or creates a security or privacy concern.
Where EternaX acts as a processor, the Customer will generally be responsible for determining the accuracy and lawfulness of source data, subject to any responsibilities assigned to EternaX by law or contract.
12.Data Retention and Deletion
EternaX retains information only for as long as reasonably necessary for the purpose for which it was collected or received, subject to contractual commitments, applicable law, legitimate operational requirements and any valid preservation obligation.
Retention periods may differ by information category and product.
12.1Website and enquiry records
Website logs, enquiry details, business communications and sales records may be retained for periods reasonably necessary to respond to enquiries, manage business relationships, maintain security, evaluate engagement and address applicable legal or contractual requirements.
12.2Account and access records
Account records, access histories, authentication events and administrative audit trails may be retained for the period necessary to operate and secure the service, investigate incidents, demonstrate relevant actions and meet applicable contractual or legal requirements.
12.3Transaction and reconciliation records
Transaction feeds, reconciliation results, settlement records, dispute files and related audit trails may be retained according to the Customer's instructions, the contracted service, applicable retention requirements and approved operational policies.
EternaX does not establish one universal retention period for every transaction record. A product-specific retention schedule or agreement may define the applicable period.
12.4Support and incident records
Support tickets, technical logs and incident records may be retained for a period necessary to resolve the matter, prevent recurrence, maintain service quality and support applicable security, contractual or legal requirements.
12.5Deletion and exit
When a contract ends, a Customer may request the return, export or deletion of Customer Data in accordance with the applicable agreement, product capabilities and legal requirements.
Deletion may be subject to reasonable technical processes, backup cycles, legal holds, dispute preservation requirements and mandatory retention obligations. Where deletion is delayed for one of these reasons, the relevant data should remain protected and should not be used for unrelated purposes.
Where EternaX acts as a processor, it will follow the contractual process for returning or deleting Customer Data after termination, subject to applicable law and any agreed exceptions.
12.6Backups and residual copies
Data stored in backup or disaster-recovery systems may not be removed immediately when an active-system record is deleted. Such copies should be retained only for the applicable backup period and should be protected against ordinary use, except where restoration, security, continuity or legal requirements necessitate access.
12.7Retention reviews
EternaX should maintain documented retention rules for the categories of information it controls and review those rules periodically. Where an exact retention period is not yet established, it should be defined in the applicable internal schedule or customer agreement before the relevant processing is launched.
13.Information Security
EternaX recognises the importance of protecting information against unauthorised access, alteration, disclosure, destruction, loss or misuse.
Subject to the nature of the service, risk assessment, technical feasibility and contractual commitments, EternaX seeks to maintain appropriate administrative, technical and organisational safeguards.
These may include:
Role-based access control and least-privilege permissions.
Authentication and access-management controls.
Multi-factor authentication where implemented and appropriate.
Encryption in transit and, where implemented, at rest.
Secure handling of API credentials and secrets.
Audit logging and monitoring of relevant activity.
Network and infrastructure security controls.
Vulnerability management and security testing.
Secure software-development and change-management practices.
Backup and recovery arrangements.
Incident-response procedures.
Personnel confidentiality obligations and security awareness.
Vendor assessment and access restrictions.
Separation of environments and controlled deployment processes, where implemented.
The specific controls available for a product may differ according to its architecture, hosting model, deployment configuration and contractual scope.
EternaX does not represent that any system or transmission method is completely secure. Security measures reduce risk but cannot eliminate every possible threat.
13.1Customer responsibilities
Customers must use the services in accordance with their contracts and applicable law. They should:
Restrict platform access to authorised users.
Protect credentials and API keys.
Use secure integration endpoints.
Review user permissions periodically.
Notify EternaX promptly of suspected compromise.
Avoid uploading unnecessary personal or sensitive information.
Maintain appropriate security in systems they control.
Follow documented integration and data-transfer requirements.
A Customer's security responsibilities do not remove any separate legal or contractual responsibility that EternaX may have.
14.Security Incidents and Personal Data Breaches
EternaX maintains or will establish incident-management procedures appropriate to its services and risk profile.
If EternaX becomes aware of a security incident affecting personal data within its control, it will assess the incident, take reasonable containment and remediation steps, preserve relevant evidence and determine whether notification or other action is required under applicable law and contract.
Where EternaX processes personal data on behalf of a Customer, it will notify the Customer in accordance with the applicable agreement and the legally required timeline. The notice should contain information reasonably available at the time and may be supplemented as the investigation progresses.
Where notification to individuals, regulators or other authorities is required, the responsible party will make the notification in accordance with applicable law and the relevant contractual allocation of responsibilities.
The handling of an incident may include:
Identifying and assessing the affected systems and information.
Containing the incident and restricting unauthorised access.
Investigating the likely cause, scope and impact.
Preserving relevant logs and evidence.
Coordinating with the affected Customer and relevant service providers.
Implementing remediation and recovery measures.
Evaluating notification, reporting and documentation requirements.
Reviewing lessons learned and corrective actions.
The timing and content of any notice will depend on the facts, the applicable legal requirements and the information available during the investigation. This Policy does not establish a substitute for a legally required incident-response procedure or a contractual incident-notification schedule.
15.Cross-Border Processing and Data Location
EternaX may use hosting, infrastructure, software or support providers whose systems operate in different locations, depending on the service architecture and contractual arrangement.
Where personal data is transferred, accessed or otherwise processed across borders, EternaX will assess applicable legal restrictions, regulatory directions, contractual requirements and Customer commitments.
For services subject to specific data-localisation requirements, the relevant deployment and data flows must be configured to meet those requirements. EternaX does not make a universal representation that all information is stored exclusively in India unless that statement is confirmed for the particular service and environment.
Customers requiring a specific hosting region, data-residency arrangement, access restriction or cross-border transfer control should confirm the requirement with EternaX before onboarding and record the agreed position in the relevant contract or security schedule.
16.Third-Party Websites, Services and Integrations
EternaX's website or platform may contain links to third-party websites, tools or services, or may integrate with third-party systems.
Those third parties may have their own privacy policies, contractual terms, security controls and data-processing practices. EternaX does not control an independent third party's privacy practices merely because its service is linked to or integrated with EternaX.
Before providing personal data directly to a third party, individuals and Customers should review the applicable notice and terms.
Where a third party processes information on behalf of EternaX or a Customer as part of an authorised service, the parties should establish appropriate contractual, confidentiality, security and processing arrangements.
17.Individual Rights and Privacy Requests
Depending on the applicable law, the nature of the information and the role of each party, individuals may have rights concerning their personal data.
These may include rights to:
Obtain information about relevant processing.
Request correction of inaccurate or incomplete information.
Request completion or updating of information where provided by law.
Request erasure or deletion where applicable.
Withdraw consent where processing is based on consent and withdrawal is legally available.
Raise a privacy-related concern.
Use a legally recognised complaint or redress mechanism.
Exercise other rights granted by applicable law.
The availability and scope of a right depend on the applicable legal framework, any relevant exemptions, the type of information and the party responsible for the processing.
17.1Requests relating to Customer Data
Where information is processed through an institutional Customer's EternaX account, the Customer may be the appropriate first point of contact because it determines the purpose of the processing and maintains the relationship with the individual.
EternaX may assist the Customer with requests in accordance with the applicable contract and law. EternaX may need to verify the request, identify the relevant Customer and confirm the authority to act before taking action.
EternaX may be unable to independently amend, disclose or delete information in a manner that would conflict with the Customer's documented instructions, another individual's rights, applicable law or a valid retention requirement.
17.2Requests relating to EternaX's own processing
For information that EternaX processes for its own business purposes, individuals may contact EternaX through the privacy contact details set out at the beginning of this Policy.
The request should identify the individual, explain the nature of the request and provide enough information for EternaX to locate the relevant records. Individuals should not send passwords, full payment credentials or unnecessary identity documents through an ordinary email channel.
EternaX may request proportionate verification where reasonably necessary to protect against unauthorised disclosure or action.
17.3Response and limitations
EternaX will assess privacy requests in accordance with applicable law and the relevant processing arrangement. Where permitted or required, it may request clarification, redirect a request to the appropriate Customer or explain why a request cannot be fully fulfilled.
A request may be limited where applicable law permits or requires continued processing, where records must be retained for legal or contractual reasons, where fulfilment would adversely affect another person's rights, or where EternaX does not control the relevant data.
Nothing in this Policy is intended to reduce a right that cannot lawfully be restricted.
18.Children's Information
EternaX's enterprise financial technology services are generally designed for institutional customers and authorised business users rather than for children to register directly.
EternaX does not intentionally seek to collect children's personal data for general business marketing. If a particular service involves children's information or is likely to be used by children, the relevant processing must be separately assessed against applicable law, including any requirements relating to parental consent, age assurance, tracking, behavioural monitoring or other safeguards.
Where a Customer supplies information relating to a child through a transaction, dispute or other operational workflow, the Customer should ensure that the information is necessary and that the required legal basis and safeguards are in place.
If EternaX becomes aware that personal data has been collected in a manner that is inconsistent with applicable requirements, it will assess appropriate steps, which may include restricting access, seeking clarification, deleting information where permitted or coordinating with the responsible Customer.
19.Automated Processing and Risk Indicators
Certain EternaX services may use configurable rules, matching logic, statistical techniques or automated workflows to classify records, identify discrepancies, generate alerts or support fraud and risk analysis.
Examples may include transaction matching, exception categorisation, threshold-based alerts, duplicate detection, workflow routing and risk indicators.
These outputs are intended to support operational activities within the configured service. They may be affected by the accuracy, completeness and timeliness of source data and by the configuration selected by the Customer.
Unless expressly agreed in a product-specific arrangement, EternaX does not represent that an automated output is a final legal, credit, fraud or eligibility determination. Customers should apply appropriate human review and decision-making controls wherever required by law, regulation, policy or the nature of the decision.
If a particular product uses automated processing that produces legal or similarly significant effects for individuals, the relevant processing must be assessed separately for applicable transparency, review, consent, fairness and other legal requirements.
20.Confidentiality and Professional Secrecy
EternaX recognises that Customers may submit confidential business information, transaction records, settlement information, dispute evidence and other commercially sensitive material.
EternaX will handle such information in accordance with the applicable agreement, confidentiality obligations, access controls and applicable law.
Information should be made available internally only to personnel or authorised service providers who require access for their assigned responsibilities. Where information is disclosed to a third party, the disclosure should be limited to the permitted purpose and subject to applicable restrictions.
Customers remain responsible for ensuring that information submitted to EternaX is appropriately classified and that any special confidentiality or regulatory restrictions are communicated and agreed before processing where necessary.
Nothing in this Policy authorises EternaX to disregard a valid confidentiality obligation, applicable banking secrecy requirement or other legal restriction.
21.Business Transfers and Changes in Ownership
If EternaX undergoes a merger, acquisition, restructuring, financing, sale of assets or similar transaction, relevant information may be reviewed or transferred as reasonably necessary for the transaction, subject to applicable law and appropriate confidentiality protections.
Where the transaction materially changes the identity of the entity responsible for processing or the purposes for which personal data is used, EternaX will assess whether notice, consent, contractual amendments or other action is required.
Any successor or acquiring entity that receives personal data must handle it in accordance with applicable law and the obligations that continue to apply to the data.
22.Compliance, Audit and Regulatory Cooperation
EternaX may maintain records and cooperate with audits, assessments or lawful regulatory requests to the extent required by applicable law, contractual commitments or the nature of the service.
Where an institutional Customer is subject to regulatory, audit or operational requirements, the parties should document relevant responsibilities, access arrangements, evidence requirements, retention obligations and permitted disclosures in the applicable agreement.
EternaX may provide information reasonably necessary to demonstrate compliance with the obligations applicable to its role, subject to confidentiality, security, third-party rights and legal restrictions.
Nothing in this Policy should be interpreted as a representation that EternaX is itself a regulated bank, NBFC, payment system operator or other regulated financial institution unless that status has been independently established and expressly disclosed.
23.Data Provided by Customers
Customers are responsible for ensuring that information supplied to EternaX is lawfully collected, relevant to the service, accurate to the extent required and provided with any notices, permissions or other legal grounds required by applicable law.
Customers should not submit information that is unnecessary for the service, unlawfully obtained, misleading, malicious or subject to restrictions that have not been disclosed and agreed.
Where appropriate, Customers should:
Mask or remove unnecessary identifiers.
Exclude authentication secrets and payment credentials.
Use approved file-transfer methods and APIs.
Restrict source-system access.
Validate data before transfer.
Notify EternaX of known inaccuracies or unauthorised disclosures.
Ensure that their own privacy notices cover the relevant processing.
Maintain appropriate controls over their users and integration partners.
EternaX may take reasonable steps to investigate or restrict processing where a data feed appears to contain unauthorised, excessive or unsafe information, subject to the relevant agreement and legal requirements.
24.Retention of Records for Legal and Operational Purposes
Certain records may need to be preserved after a customer relationship ends or after an individual requests deletion. Examples may include records required by law, records subject to a valid legal hold, security incident evidence, contractual records necessary to establish or defend claims, and records required for the resolution of a dispute.
Any such retention should be limited to the applicable requirement and supported by appropriate access restrictions. Retained information should not be used for unrelated commercial purposes merely because it remains in storage.
Where the relevant law permits deletion or anonymisation after the retention purpose expires, EternaX should follow the applicable retention and disposal process.
25.Privacy by Design and Internal Governance
EternaX seeks to incorporate privacy considerations into the design, configuration and operation of its services.
Depending on the service and risk, this may involve:
Identifying the purpose and data categories before launch.
Limiting collection to necessary fields.
Restricting access based on role and responsibility.
Separating Customer environments where appropriate.
Reviewing third-party dependencies.
Documenting data flows and integrations.
Defining retention and deletion rules.
Assessing security and privacy risks.
Providing appropriate notices and contractual terms.
Reviewing material changes to products and processing.
Training relevant personnel on confidentiality and secure handling.
The implementation of these controls may differ by product and deployment. EternaX should maintain internal records showing which controls are in place for each service and should not publish a control as implemented until it has been verified.
26.International Visitors and Applicable Local Requirements
EternaX primarily provides business-to-business technology services, but its website or services may be accessed from different jurisdictions.
The laws applicable to a particular processing activity may depend on the location of the individual, the Customer, the service, the processing operation and other legal factors.
Where another jurisdiction's mandatory privacy requirements apply, EternaX will assess those requirements and determine whether additional notices, contractual provisions, transfer safeguards or other measures are necessary.
This Policy is not intended to create a representation that every privacy law worldwide applies to every EternaX service or that every service is designed for every jurisdiction.
27.Changes to This Privacy Policy
EternaX may update this Privacy Policy from time to time to reflect changes in its products, data practices, technology, contractual arrangements or applicable law.
The revised Policy will be published through the relevant website or otherwise communicated where appropriate. The "Last Updated" date will be revised when a material update is published.
Where required by applicable law, EternaX will provide additional notice, seek renewed consent or take other action before implementing a material change.
A revision to this Policy does not automatically amend a separate contract. Any contractual amendment must be made in accordance with the applicable agreement.
Individuals and Customers are encouraged to review the Policy periodically to understand how it applies to their interactions with EternaX.

29.Interpretation and Severability
If any provision of this Policy is found to be invalid, unenforceable or inconsistent with mandatory applicable law, that provision will be interpreted or limited to the extent necessary to give effect to the applicable law. The remaining provisions will continue to apply to the extent legally permissible.
Nothing in this Policy is intended to exclude, restrict or waive a statutory right or obligation that cannot lawfully be excluded, restricted or waived.
30.Relationship With Other EternaX Documents
This Privacy Policy should be read together with the relevant EternaX terms and conditions, master service agreement, order form, service-level agreement, data processing agreement, information-security schedule, product documentation and other applicable contractual documents.

31.Important Notice
This Privacy Policy describes the intended framework for EternaX's handling of personal data. It does not guarantee that every listed product, technical control, integration or processing activity is available in every deployment.
EternaX's actual obligations and practices depend on its legal entity, the service supplied, the Customer's instructions, the information processed, the relevant contract and applicable law.
